These terms explain the basis on which Velaré Voyages assists with travel research, quotations, reservations and related support. Supplier-specific terms may also apply to each confirmed booking.

1. General information

Velaré Voyages operates as a travel agency and travel-planning service. We arrange or assist with flights, accommodation, customised holidays, Umrah, business travel, visa guidance and related travel services, subject to availability and supplier conditions.

Submitting an enquiry does not create a confirmed booking or guarantee a particular price, seat, room, visa outcome or itinerary.

2. Quotes and bookings

Travel prices and availability can change without notice. A quotation is based on the information and availability available at the time it is prepared and remains subject to reconfirmation until payment and supplier confirmation are completed.

Clients must check all names, dates, destinations, passport details, room types, fare conditions and other booking information before authorising payment or ticketing. Corrections after confirmation may attract supplier fees or may not be possible.

3. Payments

A deposit or full payment may be required to secure a booking. The amount, payment method and deadline will be provided with the relevant quotation or invoice.

A booking is not secured until the required funds have cleared and the airline, accommodation provider or other supplier has confirmed the service. Late or incomplete payment may result in a price change, loss of availability or cancellation.

4. Cancellations, changes and refunds

Cancellation and amendment rules depend on the relevant airline, hotel, tour operator, visa service or other supplier. Some fares, deposits and services may be non-refundable or subject to penalties.

Velaré Voyages acts as an intermediary for third-party travel services and cannot guarantee that a supplier will approve a refund. Any approved refund may be subject to supplier deductions, exchange-rate differences, bank charges and reasonable service fees disclosed for the booking.

5. Travel documents and visa assistance

Travellers are responsible for holding valid passports, visas, permits, health documentation and any other documents required for the entire itinerary, including transit points. Many destinations require a passport to remain valid for at least six months after the intended return date, but travellers must confirm the exact rule for their journey.

Velaré Voyages may provide visa guidance, document checklists and application support where available. Visa approval, refusal, processing time and entry permission remain entirely under the control of the relevant embassy, consulate, immigration authority or border official. Assistance does not guarantee approval.

6. Package inclusions and exclusions

Each quotation will identify the services included, such as flights, accommodation, transfers, meals or other arrangements. Anything not expressly listed as included should be treated as excluded.

Common exclusions may include travel insurance, passport and visa fees, local taxes, resort fees, personal expenses, meals not listed, baggage beyond the booked allowance, optional activities and transport not specified in the quotation.

7. Third-party suppliers

Airlines, hotels, transport providers, tour operators and other suppliers provide the underlying travel services. Their terms, schedules, operational decisions and service standards apply to the relevant booking.

Velaré Voyages is not responsible for a supplier changing schedules, substituting services, cancelling operations or imposing conditions outside our control, although we will reasonably assist the client in communicating with the supplier and understanding available options.

8. Liability and travel insurance

Velaré Voyages is not liable for losses, delays, injury, denied boarding, missed connections or disruptions caused by events outside our reasonable control, including severe weather, government action, strikes, border restrictions, supplier failure or force majeure.

Travellers are strongly encouraged to obtain comprehensive travel insurance suitable for the destination, activities, medical needs and value of the trip.

9. Website use

Website information is provided for general guidance and may change. Exchange rates shown on the website are indicative only and may differ from the rates used by banks, card providers and travel suppliers.

Velaré Voyages branding, text and original website content may not be copied or reused without written permission, except where permitted by law.

10. Communication and personal information

By submitting an enquiry, clients consent to being contacted about that enquiry through email, telephone or WhatsApp. Booking-related communication is separate from optional marketing communication.

Velaré Voyages collects the information reasonably needed to respond to enquiries and arrange requested travel services. Clients should avoid sending unnecessary sensitive information through ordinary website forms. A fuller POPIA-aligned privacy notice should be read together with these terms once published.
